When I plan my kids’ parties, my goal is to create something that feels immersive — like stepping into a little bit of magic. I love transforming our space in a way that feels exciting and memorable for both kids and adults.

Start With a Theme

The very first step in planning any birthday party is choosing a theme. This really sets the tone for everything — from the colors and decorations to the food and party favors.

I always like to ask my kids what they want for their birthday theme, and honestly, some of their ideas have been so fun and creative. One year my daughter chose a Care Bear theme inspired by her favorite stuffed animal, and another time she came up with a Lisa Frank theme, which I’m already so excited to bring to life.

Letting them be part of choosing the theme makes the party feel even more special to them, and it gives me a clear direction when it comes to planning. Once you have your theme, everything else becomes so much easier — you can build the decorations, colors, and details around it without feeling overwhelmed.

My Go-To Party Setup

I keep my setup simple and reuse the same basic items for every party — I just change the colors and theme. This makes everything so much easier and still looks amazing.

I usually start with a balloon setup, a simple backdrop or wall space, and a decorated table for food and treats. These few things make the biggest impact without a ton of work.

Cake & Treats Made Simple

When it comes to food and treats, I always try to keep things simple and budget-friendly. One of my favorite tricks is using a boxed cake mix to make our own cake or cupcakes. It saves so much money and honestly still tastes great!

To make it feel more special and on-theme, I’ll add a cute cake topper or decorate the cupcakes with themed toppers or cupcake wrappers. It’s such an easy way to dress everything up and make it match the party without spending a ton.

Using simple serving trays or a cupcake stand also helps pull everything together and makes the setup look more polished with very little effort.

Fun fact: My husband has mastered cake pops! Sometimes he makes them for our parties and they are always a huge hit. It makes them extra special knowing they were made by Dad. I’ll definitely be sharing his recipe soon!

Simple Party Food Ideas That Everyone Will Love

I usually like to host our birthday parties in the late afternoon (around 4pm). It gives families flexibility to leave when they need to, but I also love when people stay and linger into the evening — it makes the whole celebration feel more relaxed and special for our birthday star.

With an evening party, we typically serve dinner — but that can get expensive fast. To keep things simple and budget-friendly, we usually go with pizza (easy, affordable, and always a hit with kids) or a BBQ-style setup where my husband grills burgers and hot dogs.

I also like to balance things out with a few healthier options like pre-packaged salads, veggie trays from Costco, and fresh fruit.

If I’m feeling a little extra, I’ll add a simple appetizer or fun finger food. Even something as easy as using a cookie cutter to shape watermelon into fun designs can make it feel special for the kids without adding much cost or effort.

Easy Party Favor Ideas That Kids Will Actually Love

When it comes to party favors, I try to be really intentional about what we give. I don’t love sending kids home with a bunch of little toys or candy that just gets thrown away, so I like to choose things that feel a little more meaningful (and that kids will actually use).

Some of our favorite ideas have been simple but special. We’ve done mini coloring books, which are always a hit, and for my daughter’s Disneyland-themed party, each child got a Disney Golden Book along with a little thank you note — it felt like such a sweet keepsake.

For our Care Bear party, we made mini bead kits with a Care Bear keychain, and for a unicorn party we did an “adopt a unicorn” setup with little plush unicorns, adoption cards, and themed boxes. Those kinds of favors make the party feel even more magical and memorable for the kids.

You don’t have to spend a lot — just choosing something thoughtful and on-theme can go a long way.

Over time, I’ve learned that having a few basic supplies on hand makes party setup so much easier. No matter the theme, I end up using the same go-to items every single time — and they save me so much time and stress.

For hanging balloon arches or decorations, I always keep sticky back hooks or push pins on hand. They make it really easy to set everything up without damaging walls or overcomplicating things.

I also always have tape, scissors, and glue dots ready to go. Glue dots are especially helpful for attaching smaller balloons or little decorations to balloon arches and backdrops — they make everything look more full and put together with minimal effort.

And a balloon pump is an absolute must. It saves so much time (and your lungs 😅) and makes the whole setup process way more manageable.

One of my must-have tools for party setup is a hot glue gun. I use it for so many little details — from creating backdrops (like our Gabby’s Dollhouse setup) to putting together small decorations and signs. It makes DIY projects so much faster and helps everything stay in place.

These simple supplies might not seem exciting, but they are what make everything come together quickly and smoothly behind the scenes.

Our Night-Before Party Tradition

One of my favorite parts of party planning is actually the setup the night before.

We usually plan our parties for Saturdays, so on Friday night I’ll get the kids settled into bed and then my husband and I get to work transforming our house into the party. We try to do as much as we can the night before so that everything is ready to go the next day.

There’s something so special about that quiet time — turning on music, working together, and watching everything come to life piece by piece.

And the best part is the next morning. Seeing our kids wake up and come out to a fully decorated house is the sweetest thing. They are always so excited, a little in awe, and it makes them feel so loved and celebrated.

Now that my oldest is getting a little bigger, I’m planning to let her stay up with us this year to help set up for her younger sister’s birthday. I love the idea of her being part of making the magic happen — and helping her sister feel just as special.
